When to Start a University Application: A Month by Month Timeline

Why one date never covers it

A university application is not one deadline. It is a chain: a test score, a written application, a decision, a visa, and a seat on a specific start date. Each link takes its own time, and the last one, the visa, gets added onto whatever time is left after the others are done. This timeline is built from the deadlines this site holds for real universities, verified as of September 2026, not from a general rule of thumb. Dates shift by days or weeks from one cycle to the next, so treat every date named here as an example of the pattern rather than a promise for a future year, and check the specific university's own page close to when you apply.

September to November: the earliest closers

Some deadlines fall a full year or more before the course starts. Bocconi University in Italy closes its early round for Fall 2027 entry on 29 September 2026, with results out by mid November; a second Winter Session then runs to 26 January 2027 for anyone who misses the first (unibocconi.it). The single earliest deadline this site holds is Ritsumeikan University's first application period for its Global Liberal Arts and Global Studies programmes in Japan, open 19 August to 8 September 2026 for an April 2027 start, seven months out (en.ritsumei.ac.jp). The UK's biggest single deadline sits in this window too: every undergraduate course at Oxford and Cambridge, plus most medicine, dentistry and veterinary courses across the whole UK, closes through UCAS at 18:00 UK time on 15 October, a full year before the Autumn 2027 start it applies to (ucas.com). The University of Toronto's early consideration date, 7 November 2026 for Fall 2027 entry, works the same way: applicants who complete their file by then are read in the first round of offers, ten months ahead of the start (future.utoronto.ca).

Scholarships close before the admission deadline they sit next to

If funding is part of the plan, the deadline that actually matters is often the scholarship's, not the university's, and it usually falls earlier. Chevening, the UK government's own scholarship, closes 6 October 2026 for the following year's cohort, and the Commonwealth Master's and PhD Scholarships close 20 October, both well before most UK university deadlines in January (chevening.org; cscuk.fcdo.gov.uk). At ETH Zurich, the Excellence Scholarship and Opportunity Programme closes 30 November 2026, the same day as ETH's own master's application deadline, so a scholarship applicant loses nothing by applying for both at once (ethz.ch). At EPFL, Leiden and TU Delft it works the other way. EPFL's Master's Excellence Fellowships close 15 December 2026, more than three months before EPFL's own general master's deadline of 31 March 2027 (epfl.ch). Leiden University's Excellence Scholarship and TU Delft's Justus and Louise van Effen Scholarships both close 1 December 2026, well ahead of the Dutch system's general 1 April deadline (universiteitleiden.nl; tudelft.nl). A student who plans to fund the degree this way and waits for the general admission deadline has usually already missed the funding round.

January: the busiest week on the whole site

More recorded deadlines fall in January than in any other month, and 13 to 15 January is the busiest stretch of all. Every UK university outside the October group, from Manchester to Bristol, shares one UCAS deadline, 13 January 2027 at 18:00 UK time, for equal consideration (ucas.com; imperial.ac.uk). Sweden's university system, more than a dozen institutions from Chalmers and Uppsala to Stockholm University and Karolinska Institutet, shares the same 15 January date through one national portal; supporting documents and the SEK 900 fee follow by 1 February, and results land 1 April for master's programmes and 8 April for bachelor's (universityadmissions.se). Denmark's master's deadline for a September start, for applicants from outside the EU, EEA and Switzerland, closes the same week at Copenhagen, Aarhus (masters.au.dk), the Technical University of Denmark (student.dtu.dk), Aalborg (en.aau.dk), Copenhagen Business School (cbs.dk) and Roskilde (ruc.dk) alike, each running its own admissions process rather than a shared portal. Germany's summer semester round closes 15 January at several universities run independently of one another, including Cologne (uni-koeln.de) and Kiel (international.uni-kiel.de); at the University of Erlangen-Nuremberg the window for most master's programmes runs from 15 September or 15 October the year before through to that same 15 January date (fau.de). Canada's University of Toronto, University of British Columbia and McGill all share 15 January as their regular Fall 2027 deadline, eight months before term starts.

The same intake, four months apart

Some of the sharpest contrasts sit inside a single country, even a single institution. ETH Zurich's master's deadline for applicants with a non-Swiss bachelor's degree is 30 November 2026. EPFL, the other Swiss federal institute, officially closes its master's round on 31 March 2027, four months later, for the same Autumn 2027 semester (ethz.ch; epfl.ch). EPFL's own admissions page adds a detail worth acting on: an earlier round runs from mid November to 15 December 2026, and EPFL tells applicants who will need a student visa to use that earlier round rather than wait for March. The Technical University of Munich shows the same pattern inside one university: its master's programmes close 31 May 2027 (academics.nat.tum.de), but its bachelor's programmes for the same Winter 2027 semester close later still, 15 July, only three months before term starts (tum.de). The University of Copenhagen splits its own deadline by citizenship: non-EU and non-EEA applicants, the ones who will need a Danish residence permit, must apply by 15 January, while EU, EEA and Swiss citizens get until 1 March, six weeks more, precisely because they need no visa (ku.dk). None of these are errors. Each university is building its own visa runway into the date it publishes, which is exactly why "apply early" means nothing without a specific date attached to a specific country.

What a visa adds after the offer

An offer is not a seat. Every country in this site's visa records states its own processing range, and the ranges do not resemble each other. China's student visa is quoted at 3 to 4 working days (bd.china-embassy.gov.cn), and Singapore and South Korea both quote 7 to 14 days (ica.gov.sg; hikorea.go.kr). Malaysia's Student Pass takes at least 14 days (visa.educationmalaysia.gov.my), Poland's national visa 15 to 30 (gov.pl), and New Zealand's Fee Paying Student Visa 18 to 39 (immigration.govt.nz). The UK states 21 to 56 days and Ireland 28 to 56 (gov.uk; irishimmigration.ie). Germany and Japan both quote 30 to 90 days (germany.info; moj.go.jp), Hong Kong a flat 42 (immd.gov.hk), Italy 45 to 90 (esteri.it), and Denmark's residence permit for higher education, the slowest figure this site holds, 60 to 90 days (nyidanmark.dk). Several major destinations, including the United States, Canada, Australia and Switzerland, publish no fixed day range at all in these records; their own visa authorities describe the wait as variable and point applicants to a live checker rather than a printed number. Where a range does exist, add it after the offer date, not after the application deadline, because the offer itself can take weeks to arrive.

What has to be ready before you apply, not after

An English test score has to exist before most applications go in, and it has to still be valid when it arrives. Two years is the common ceiling; Bilkent University in Turkey states it explicitly (bilkent.edu.tr), and so does Universiti Teknologi Malaysia (admission.utm.my), while Universiti Putra Malaysia accepts a score up to five years old (akademik.upm.edu.my). Poland is the clearest case of a floor that has to be met in advance rather than promised later: since 1 August 2025, a Ministry of Science and Higher Education regulation sets IELTS 5.5, TOEFL iBT 72 or PTE 59 as the legal minimum for any non-EU applicant to a Polish university, and no institution may accept less (umk.pl). A reference letter, a research proposal, or a credential check through a service such as uni-assist in Germany also needs lead time the deadline date alone does not show, because each depends on someone other than the applicant acting first (uni-assist.de).

Where the site's own data runs out

Not every 2027 to 2028 cycle is published yet, and this site says so rather than guessing. Several Dutch research universities, including the University of Amsterdam's master's programmes, Wageningen University, the University of Groningen and Maastricht University, carry a provisional date rather than a confirmed one in these records, marked as such rather than filled in. Where a date is missing entirely, that is stated plainly too. The pattern above holds regardless of which university eventually confirms its date: work backward from the month the course starts, add the visa range for that country, add real time for a test score and a reference, and the true starting point is almost always earlier than it first looks.
